Google Classroom Auto-Sync

How automatic ingestion works, what you can configure, and what to expect once it's on.

In one sentence

When auto-sync is on, AuthenText quietly pulls student work from your linked Google Classroom assignments on a schedule you choose, runs the full analysis engine on each new submission, and surfaces results in your dashboard and email digest — no manual "Sync" button required.

What auto-sync actually does

Each time auto-sync runs for one of your classes, it performs the following steps:

  1. Asks Google Classroom for current state of every linked assignment in classes you've imported.
  2. Diffs against your database — what's new, what's been resubmitted, what's been unsubmitted by the student.
  3. Pulls the actual document text from the linked Google Doc via Drive export.
  4. Versions resubmissions so prior versions stay in the Writing Timeline.
  5. Soft-deletes unsubmitted work (the student took it back) so it doesn't pollute the baseline.
  6. Hands new submissions to the analysis pipeline — same analysis path a manual upload uses (forensic scoring, V3 Voice Read, Voice Profile update).
  7. Updates dashboards and queues immediate alerts if anything lands at Tier 3+ and your alert preferences allow it.

Two sync strategies (pick one or both)

When assignment due dates arrive

Best for: comprehensive coverage

Within ~1 hour after an assignment's due date passes, AuthenText syncs every student's work for that assignment — including drafts that were never formally submitted.

Unsubmitted drafts are tagged in the UI so you can tell them apart from formal submissions.

Fires per assignment

Before my daily digest

Best for: tidy inbox workflow

Roughly 1 hour before your scheduled digest email, AuthenText syncs only formally submitted work across all your linked classes.

Everything analyzes in the background so the digest you wake up to already contains the new results.

Fires once per digest cycle

You can enable either strategy on its own or both together. With both on, due-date sync gives you fast coverage and the pre-digest sweep catches anything submitted after the due-date pass.

Schedule controls (what you can actually set)

Digest hour and timezone

Choose the local hour your digest email arrives. The "pre-digest" sync anchors to this — change the hour and the sync moves with it. Timezone auto-detects from your browser the first time you sign in.

Digest frequency

Daily or weekly. On weekly mode you also pick the day of the week. The pre-digest sync follows the same cadence.

Class filter

Exclude individual classes from notifications (and therefore from the pre-digest sync window) if you only want certain courses monitored automatically.

What we deliberately don't expose

We don't offer a "sync every N hours" knob. The two strategies above are anchored to events that actually matter (due dates, your digest) so the system never burns API quota polling for nothing. If you need an off-schedule pull, hit the manual Sync button on any assignment page.

Setting it up

  1. Connect Google Classroom from the dashboard or Settings → Integrations. You'll grant read access to courses, rosters, coursework, and Drive document export.
  2. Import the classes you want monitored using the course picker. Pick the assignments you care about. Unpicked assignments are ignored by auto-sync.
  3. Open Settings → Notifications and flip on Enable auto-sync.
  4. Choose your strategy (due-date, pre-digest, or both) and confirm your digest hour and timezone.
  5. Save. The first run will happen at the next scheduled trigger — nothing else is required from you.

What you'll see once it's on

New submissions appear on their own in each student's profile, the assignment page, and the dashboard's "Needs Review" queue.

A "Last synced" timestamp on each linked class shows you when the last auto-sync touched it.

Tier 3+ submissions trigger immediate alerts if you have alerts enabled and the submission meets your minimum-tier threshold.

Your digest summarizes the new arrivals — flagged items first, with one-click links into the full review.

Privacy & safety

Read-only Google access. Auto-sync only reads courses, rosters, coursework, and the Doc text of assigned files. It never writes back to Google Classroom and never touches files outside the assignments you imported.

Your refresh token lives in an isolated row with strict row-level security — only your own server-side syncs can use it.

Unsubmitted drafts are excluded from baselines. If a student takes back a submission, it's soft-deleted from analysis automatically.

Short text and historical uploads stay out of Voice Profiles — the same baseline-eligibility rules apply whether work arrives via auto-sync or manual upload.

If something looks off

Nothing has come in for a while

Check the "Last synced" stamp on the class. If it's stale, your Google token may have expired — head to Settings → Integrations and reconnect Google Classroom.

A student's work didn't appear

Confirm the assignment is one you imported, the student is on the roster, and the attached file is a Google Doc (image scans and PDFs need to be uploaded manually).

I want to pull right now

Open the assignment page and click Sync. This runs the same logic on demand for just that assignment.
